Ridge Solutions is an Ontario sole proprietorship. Ridge Solutions provides subscription-based digital services to small businesses, including website setup, hosting, maintenance, CRM configuration, automation workflows, lead follow-up systems, missed call text-back, review workflows, booking tools, and related ongoing support.
This Privacy Policy applies to personal information collected through ridgesolutions.ca, associated funnel and landing pages, booking flows, client onboarding materials, and direct communications with Ridge Solutions.
2. Scope of This Policy
This Policy explains how Ridge Solutions collects, uses, discloses, retains, and protects personal information in connection with its website and services.
Ridge Solutions operates primarily as a business-to-business (B2B) service provider. The personal information Ridge Solutions handles most frequently relates to business owners, their authorized representatives, and prospective clients — not end consumers of those clients' own businesses. However, in the course of delivering services, Ridge Solutions may access or process personal information that clients provide about their own customers through client subaccounts, dashboards, or workflows. Ridge Solutions handles that information only as directed by the client and as necessary to deliver the contracted services.
This Policy is intended to comply with applicable Canadian privacy legislation, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and any applicable Ontario legislation. Ridge Solutions is also committed to complying with Canada's Anti-Spam Legislation (CASL) with respect to commercial electronic messages.
3. Personal Information Ridge Solutions Collects
Ridge Solutions collects only the personal information reasonably necessary to provide its services, manage client relationships, and operate its business. The following categories describe what may be collected.
Contact Information Full name, phone number, and email address, collected through inquiry forms, the booking calendar, onboarding questionnaires, and direct communications.
Business Information Business name, website URL, service areas, business hours, services offered, business address, social media profile links, and descriptive information about the business submitted by clients or prospective clients.
Optional Business Identification Details Where voluntarily provided, business tax identification numbers, business registration numbers, or similar identifiers. Submission of these details is optional unless required for a specific service purpose.
Uploaded Files and Materials Logo files and other content assets submitted by clients as part of the website setup and onboarding process.
Booking and Appointment Data Selected appointment date and time, timezone, appointment confirmation or rescheduling status, and related scheduling information collected through the booking calendar flow.
Lead Qualification Information Responses to qualifying questions in opt-in forms, such as whether a prospective client has a verified Google Business Profile.
Communications Content Message content submitted through the Contact Form, the Sales Calendar Form, or direct email, phone, or SMS communications with Ridge Solutions.
Consent and Preference Data Checkbox status and communication preferences recorded at the time of form submission or opt-in.
Payment and Billing Information Transaction and billing details associated with Ridge Solutions' subscription services. Payment processing is handled by Stripe. Ridge Solutions does not store full payment card numbers on its own systems.
Ridge Solutions does not knowingly collect sensitive personal information beyond what is listed above, and does not require clients to submit government-issued identification as part of standard onboarding.
4. How Ridge Solutions Collects Personal Information
Ridge Solutions collects personal information through the following channels:
Website Forms
- Client Website Content Questionnaire: Collects business and contact details, uploaded materials, optional business identification, and related onboarding information from clients beginning their service.
- Sales Calendar Form: Collects name, phone number, email address, and a confirmation of availability for a scheduled discovery call.
- Lead Opt-in Form: Collects company name, contact name, mobile phone number, and a qualifying question about the prospect's business profile.
- Contact Form: Collects full name, phone number, email address, and message content. Includes a separate SMS consent checkbox with links to this Privacy Policy and Ridge Solutions' Terms and Conditions.
Booking Calendar Flow Prospective and existing clients may book a discovery call or appointment through an integrated booking calendar. The booking flow collects scheduling information and requires acknowledgement of Ridge Solutions' Terms and Conditions, this Privacy Policy, and consent to receive appointment-related communications.
Funnel Pages and Thank You Pages Ridge Solutions operates lead generation funnel pages and corresponding thank you pages. Personal information submitted through these pages is collected and used for lead qualification and follow-up purposes.
Direct Communications Personal information may be collected when individuals contact Ridge Solutions directly by email, phone, video call, or SMS.
Service Delivery Context In the course of providing services, Ridge Solutions may collect or access personal information through client subaccounts, dashboards, or automated workflows built as part of the service.
Stripe Billing and payment information is collected at the point of payment through Stripe's secure payment interface.
5. Purposes for Collection, Use, and Disclosure
Ridge Solutions collects, uses, and discloses personal information for the following purposes:
-To respond to inquiries and qualify prospective clients
-To schedule and confirm discovery calls and appointments
-To send appointment reminders, confirmations, and rescheduling communications by email and SMS
-To onboard new clients and deliver contracted services, including website setup, hosting, automation configuration, and related ongoing support
-To manage subscription billing and payment processing through Stripe
-To communicate with clients about their service, account status, updates, and support matters
-To operate and improve Ridge Solutions' systems, workflows, and service delivery
-To maintain accurate business records and comply with applicable legal and contractual obligations
-To send optional marketing communications to individuals who have separately consented to receive them
-To enforce Ridge Solutions' Terms and Conditions and other agreements
Ridge Solutions does not use personal information for automated decision-making that produces legal or similarly significant effects without human involvement, and does not sell personal information to any third party.
6. Consent
How Consent Works
Ridge Solutions relies on meaningful consent as the legal basis for collecting and using personal information. Depending on the circumstances, consent may be express (explicit opt-in or checkbox) or implied (where the purpose is obvious and the individual voluntarily provides the information).
Required Service and Appointment Communications
When a prospective or existing client books an appointment or discovery call through Ridge Solutions' booking calendar, they will be asked to acknowledge the Terms and Conditions and this Privacy Policy and to consent to receiving appointment-related communications by email and SMS. This consent is required to deliver the booked service. Appointment confirmations, reminders, and rescheduling messages are necessary to carry out a booked appointment and are not optional marketing messages.
Optional Marketing Communications
Ridge Solutions may send commercial electronic messages — including promotional emails and marketing SMS messages — only to individuals who have separately and explicitly consented to receive them. Acceptance of the booking flow terms or submission of a contact form does not constitute consent to receive general marketing messages. Optional marketing consent is collected through a clearly identified opt-in mechanism and is separate from any required service or appointment consent.
Withdrawing Consent
Individuals may withdraw consent to optional marketing communications at any time by:
-Clicking the unsubscribe link in any marketing email
-Replying STOP to any marketing SMS message

Withdrawal of consent to optional marketing communications will not affect the delivery of required service or appointment communications, which are necessary to operate the booked or contracted service.
Individuals wishing to withdraw consent to all communications, including service-related communications, should contact Ridge Solutions directly. Note that withdrawing consent to service communications may affect Ridge Solutions' ability to deliver contracted services.
7. Email, SMS, and Marketing Communications
Ridge Solutions complies with Canada's Anti-Spam Legislation (CASL) with respect to commercial electronic messages sent to Canadian recipients.
Appointment and Service Messages Ridge Solutions sends appointment confirmations, reminders, and rescheduling notifications by email and SMS as a necessary part of delivering a booked appointment or ongoing service. These messages are not marketing communications. Consent to receive them is obtained through the booking flow and service agreement.
Marketing Messages Ridge Solutions may send promotional or marketing emails and SMS messages only to recipients who have expressly opted in to receive them through a separate and clearly identified consent mechanism. Each marketing message will identify Ridge Solutions as the sender, include a clear unsubscribe mechanism, and include contact information as required by CASL.
Unsubscribing Recipients may opt-out of marketing emails by using the unsubscribe link included in each message. Recipients may opt out of marketing SMS messages by replying STOP. Opt-out requests will be honoured promptly and recorded. Opt-out records are retained for a minimum of two years.
8. Disclosure to Third Parties
Ridge Solutions does not sell personal information.
Ridge Solutions may disclose personal information to third parties in the following circumstances:
Service Providers and Processors Ridge Solutions engages third-party service providers to operate its business and deliver services. These providers may process personal information on Ridge Solutions' behalf. Ridge Solutions takes reasonable steps to ensure that service providers handle personal information appropriately and only for the purposes for which it was shared.
Client Access Authorized team members of a client organization may access their own client data within their designated subaccount, dashboard, or workflow environment, as established during the service relationship.
Legal Requirements Ridge Solutions may disclose personal information where required or permitted by law, including in response to a court order, lawful subpoena, regulatory request, or to protect the rights, property, or safety of Ridge Solutions, its clients, or others.
Business Transitions In the event of a sale, acquisition, amalgamation, or restructuring of the business, personal information may be transferred as part of that transaction. Ridge Solutions will take reasonable steps to ensure that any successor entity handles personal information in a manner consistent with this policy.
9. Current Service Providers
Ridge Solutions currently uses the following third-party providers, which may process personal information in connection with the services they provide:
GoHighLevel / LeadConnector — CRM, automation, communications, website hosting, booking calendar, and related platform services.
GoDaddy — Domain registration and related services.
Google Workspace — Business email, file management, and related communications tools.
Stripe — Payment processing and subscription billing.
Each of these providers has its own privacy practices. Ridge Solutions recommends that individuals review the privacy policies of these providers for further information about how they handle personal information.
Ridge Solutions may update this list as service providers are added, changed, or removed. This Policy will be updated accordingly.
Future Tools (Not Currently Active) Ridge Solutions is considering the future use of additional tools, which may include Cloudflare Turnstile for spam prevention, Google Analytics for website traffic analysis, Meta Pixel for advertising purposes, and a website chat widget. These tools are not currently active. This Policy will be updated to describe them before or upon activation.
10. Cross-Border Processing
Ridge Solutions is based in Ontario, Canada. However, some of the third-party service providers listed in Section 9 may store or process personal information on servers located outside Canada, including in the United States or other jurisdictions.
When personal information is transferred outside Canada, it becomes subject to the laws of the jurisdiction where it is processed. Foreign governments, courts, or law enforcement authorities may have the right to access that information under their local laws.
Ridge Solutions takes reasonable steps to ensure that cross-border transfers are made only to service providers whose privacy and security practices are appropriate for the information shared.
11. Retention
Ridge Solutions retains personal information only as long as necessary to fulfil the purposes for which it was collected, or as required by law. The following schedule applies:
-General inquiries (no service engagement) 12 months
-Leads that do not result in a service agreement 12 to 24 months
-Active and former client records Duration of service plus 6 years
-Marketing opt-out records Minimum 2 years
-Uploaded files (logos and client content) Until project completion plus 12 months
At the end of the applicable retention period, personal information will be securely deleted or de-identified.
12. Security Safeguards
Ridge Solutions takes reasonable precautions to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification.
Current safeguards include:
-Administrator-level accounts protected by two-factor authentication
-Access to personal information restricted to authorized personnel and service providers on a need-to-know basis
-Reliance on reputable third-party providers for hosting, payment processing, and communications, each of which maintains their own security programs
-Ongoing attention to access controls and account security practices
No security measure is perfect or impenetrable. Ridge Solutions cannot guarantee that personal information will be secure in all circumstances. In the event of a privacy breach that poses a real risk of significant harm, Ridge Solutions will comply with applicable breach notification obligations.
Call recordings are not currently used by Ridge Solutions.
13. Accuracy
Ridge Solutions takes reasonable steps to ensure that personal information used for ongoing purposes is accurate, complete, and up to date. Clients and prospective clients are encouraged to notify Ridge Solutions of any changes to their personal information by contacting [email protected].
14. Access, Correction, and Withdrawal of Consent
Individuals have the right to request access to the personal information Ridge Solutions holds about them, and to request correction of any inaccurate or incomplete information.
Ridge Solutions will respond to access and correction requests within a reasonable time and in accordance with applicable law. In some circumstances, Ridge Solutions may be unable to provide access — for example, where the information is subject to solicitor-client privilege, would reveal information about another individual, or is otherwise protected by law. If access is denied, Ridge Solutions will provide a reason.
Individuals may also withdraw consent to the use of their personal information as described in Section 6.

16. Third-Party Links and Embedded Tools
The Ridge Solutions website and service materials may contain links to third-party websites, platforms, or resources. Ridge Solutions is not responsible for the privacy practices of those third parties. This Policy applies only to personal information collected by Ridge Solutions through its own channels.
As noted in Section 9, Ridge Solutions currently uses integrated third-party service providers including GoHighLevel / LeadConnector, GoDaddy, Google Workspace, and Stripe. Individuals interacting with tools powered by these providers may also be subject to those providers' privacy policies.
17. Children
Ridge Solutions' services are directed to small business owners and their authorized representatives. Ridge Solutions does not knowingly collect personal information from individuals under the age of 18. If Ridge Solutions becomes aware that it has inadvertently collected personal information from a minor, it will take steps to delete that information promptly.
18. Changes to This Policy
Ridge Solutions may update this Privacy Policy from time to time to reflect changes in its services, legal requirements, or data practices. The updated Policy will be posted at ridgesolutions.ca/privacy-policy with a revised effective date. Ridge Solutions encourages individuals to review this Policy periodically.
Material changes that affect how Ridge Solutions handles personal information already collected will be communicated to affected individuals where reasonably practicable.
